Division objectives
1- Develop skills through training and qualification of employees to raise performance and efficiency. |
2- Manage performance, periodically evaluate employee performance, and motivate them to achieve the college’s goals. |
3- Retain outstanding employees and create a stimulating work environment to reduce talent loss. |
4- Plan the workforce and ensure the availability of the appropriate number of employees with the required skills at the appropriate time. |
5- Ensure compliance with regulations and laws and ensure compliance with laws, instructions, and regulations related to work and employees. |
6- Promote employee culture and build a positive organizational culture that supports values and the institution. . |
7- Manage compensation and benefits and design fair reward and incentive systems in cooperation with senior college officials. |
8- Support strategic planning and participate in developing strategic plans to ensure alignment of human resources with the college’s goals. |
9- Resolve disputes and address complaints and conflicts in a fair and effective manner. |
Tasks and duties of the Division
First: Issue university and administrative orders for the following cases:
1/ Granting college members regular paid and unpaid leave, maternity leave, childbirth leave, sick leave, study leave, and five-year leave with nominal salary to those entitled to them, in accordance with applicable laws, regulations, and instructions.
2/ Implementing university orders to appoint permanent and temporary employees, provided that job grades and financial allocations are available, in accordance with legal requirements.
3/ Granting annual bonuses, promotions, and job title changes to college members, in accordance with approved instructions and regulations.
4/ Processing the retirement of employees who have reached the legal age.
5/ Issuing letters of thanks and appreciation to college members and to all those who provide distinguished services to the college. And the award of a stature for the thanks and appreciation received from higher authorities.
6/ Transfer and assign employees between college departments to ensure smooth workflow and improve performance.
7/ Assign deans, assistant deans, heads of academic departments, and directors of divisions affiliated with the college, in accordance with university and administrative orders and within the powers granted to the college.
8/ Form permanent and temporary committees related to the implementation of the university and college responsibilities.
9/ Send faculty and staff members abroad.
10/ Confirm employees on probation in accordance with the Civil Service Law.
Second/ Complete certificate calculation procedures for various undergraduate and graduate degrees.
Third/ Answer inquiries received from the university presidency and academic colleges.
Fourth: Providing affiliates with confirmation of continued service and salary amounts from various government departments.
Fifth: Directly following up on affiliates’ disengagement after they have completed various vacations, assignments, transfers, and retirement.
Sixth: Preparing the staffing of faculty and staff (administrative, technical, and engineering).
Seventh: Continuously updating personal, administrative, and academic data of faculty and staff.
Eighth: Monitoring the electronic storage of incoming and outgoing (personal) letters to and from the college.
Ninth: Addressing all government departments and the Ministry regarding all affiliate requests by contacting the University Presidency to issue official letters.
Tenth: Completing all service addition transactions, such as adding contract service and guaranteed civil status for college members.
Eleventh: Completing a service summary for members to meet various needs.
Twelveth: Electronic archiving of all incoming and outgoing letters and storing official letters in each member’s personal files.
Thirteenth: Monthly follow-up with the electronic fingerprint unit to calculate timesheets.
Fourteenth: Daily follow-up by recording and marking all regular and sick leave on each member’s leave card after the college dean approves the leave.
Fifteenth: Follow-up on study leave, non-immunity letters, and all study-related matters.
Sixteenth: Providing faculty members with a referral to the medical committees for extension of service until retirement, after obtaining the approval of the council of the college deanship and the university council for the extension of service.
Seventeenth: Providing college members with a college and university clearance form and a letter stating the financial position regarding the domiciliation of their salary in approved banks.
Others
1- Periodically follow up on the maintenance of the college’s fire extinguishers with the university’s Civil Defense Division and the maintenance company, and provide financial allocations through the college’s Finance Affairs Division. |
2- Prepare statistics on college members in cooperation with the college’s Statistics Unit and prepare a comprehensive and detailed database. |
3- Participate in and supervise committees for scientific seminars and conferences at the college. |
4- Complete retirement procedures with all priorities in cooperation with the Retirement Division in the Administrative and Financial Affairs Department at the University Presidency and refer them to the General Retirement Authority by the college. . |
5- Supervising and supporting (the college’s examination committee) in mid-year and final exams for college students at all academic levels, pursuant to an administrative order issued by the college deanship. |
6- Following up on and requesting the printing of job service cards, leave cards, and official college papers through the university printing department and according to the approved official forms. |
